Purpose

This policy explains how the Shipping & Receiving (S&R) team handles outbound shipments and clarifies that S&R does not arrange shipping with carriers. S&R provides limited support by allowing the warehouse to be used as a pickup point and assisting with internal transport when possible.

Scope

This policy applies to all university departments, offices, labs, programs, and student organizations that ship materials off campus.

Policy Statement

  1. What S&R Does Not Do

S&R does not:

  • Select carriers
  • Schedule or book shipments
  • Prepare shipping paperwork
  • Package or label items
  • Manage insurance, customs, or export requirements
  1. What S&R Will Do

S&R will:

  • Allow the warehouse to be used as a pickup location for shipments that you have arranged
  • Help move your prepared shipment from your campus location to the warehouse, if scheduled in advance via Work Order Request and operationally feasible
  • Release your shipment to the carrier when the carrier arrives at the warehouse
  1. Responsibilities of the Originating Unit

The originating department or unit must:

  • Arrange the shipment directly with the carrier
  • Prepare all packaging, labeling, and forms
  • Pay all shipping‑related costs
  • Ensure the shipment complies with any hazardous materials, export, or specialized handling rules
  • Coordinate delivery of the shipment to the warehouse within S&R business hours
  1. Conditions for Using the Warehouse as a Pickup Point
  • Shipments must be fully prepared before arriving at the warehouse
  • Carrier pickups must be scheduled during S&R operating hours
  • S&R may refuse shipments that are unsafe, improperly packaged, or noncompliant
  • S&R is not the “shipper of record” and is not responsible for loss, damage, or delays after pickup

Procedures

  1. Requesting Transport to the Warehouse
  • Submit a  Work Order Request to S&R at least 3 business days in advance
  • Provide item size, weight, location, and any special handling needs
  1. Setting Up Carrier Pickup
  • Use the warehouse address when booking your pickup
  • Share the scheduled pickup details with S&R before dropping off or requesting transport
  1. Staging and Storage
  • Items may be staged for up to 4 business days
  • Items not picked up may be returned or incur storage fees

Enforcement

Non-compliant shipments may be refused, returned, or delayed. Repeated issues may result in loss of S&R support services.
